Alumni Engagement Event Coordinator

Responsibilities
The Events Coordinator for the Office of Alumni Engagement supports all aspects of alumni programming. The Events Coordinator is responsible for logistical event management, including; RSVP coordination, event registration execution, e-marketing via iModules (email and forms), website management, contract submissions, and venue coordination. The events coordinator is also responsible for some regional event planning, campus committee work, and chapter volunteer management.
1. Manages all aspects of event logistics in the Office of Alumni Engagement, including the management of RSVPs, execution of registration and event check-in, briefing documents, e-marketing (emails and form building) via iModules, website management, contract submissions, catering and facilities requests, liquor license applications, auction management, and onsite logistics coordination. Supports the Director and Assistant Directors with events as needed.
2. Supports the planning of local regional chapter events and athletic pregame events. Manages local regional chapter volunteers to develop, promote and execute local alumni programming. Serves as staff liaison to Events Committee of the Alumni Board of Directors, and other campus committees as necessary.
3. Daily user of iModules platform for the Office of Alumni Engagement - email communications, integration with SMC website, and form building and TouchNet payment platform. Monitors and manages communication through events@smc email account and events phone line, as well as main alumni phone line and alumni email account in absence of administrative assistant.
4. Leads in the planning and execution of student events, including Zero Year Reunion, Grad Fair, First Year, First Six, etc.
5. Manages event attendee coding and alumni reports/list pulls within Colleague and Informer and maintains Advancement Office event calendars and weekly event update emails.
6. Supervises student staff and manages student daily workflow and projects.
7. Manages inventory, organization, and ordering of alumni merchandise.
Experience and Qualifications
Education: REQUIRED: Bachelor's Degree
Experience: (years required and applicable field of experience): At least 2 years of event planning experience.
Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical): Ability to use Word, Excel, PowerPoint, Access, iModules event software, TouchNet POS, Adobe PhotoShop, database skills, and general office machines.
Other requirements: (e.g. travel, weekend/evening work): Frequent night and weekend work, with some travel. Must have own vehicle.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
